The Production Coordinator is a position in the Cross-Media Group that works across both Anansi and Groundwood imprints and reports to the Director, Cross-Media Group. The position requires a close working relationship with the Managing Editors, Art Director / Senior Designer and the Publishers of Anansi and Groundwood. This position is for someone with some trade publishing experience and very strong organizational skills.

Duties and Responsibilities

Print Project Coordination, including:

For Books in Production:

  • Ensure all printed books are delivered on time and on budget, with the quality and specifications requested
  • Solicit competitive prices from printers
  • With each Managing Editor and Director, Cross-Media Group, develop accurate production schedules in advance of each season, update weekly production schedules, and participate in weekly production meetings
  • Coordinate quoting and printing of all reprints and new format editions, ensuring that publishing standards, costs, printer schedules and in-house requirements are maintained as required, and archive the digital files of each reprint or new edition promptly once it has been printed
  • Pre-flight and upload all files for text, covers, and jackets to printers
  • With the Director, Cross-Media Group, communicate with printers throughout the process to troubleshoot changes in schedule or workload, negotiate discounts in a timely fashion when errors occur, and keep in-house staff informed promptly of printer changes, delays, problems or successes
  • Reconcile and approve all print invoices and receive all books in database
  • Process invoices from printers and freight forwarders as they arise

For Co-Editions and Special Printings:

  • Working with the Rights Manager and the Director, Cross-Media Group, coordinate quoting and printing of all co-editions and special printings from confirmation of order to delivery of finished books, ensuring that publishing standards, costs, printer schedules and customer requirements are maintained as required
  • Supply print-ready files to co-edition partners for imprint changes/translation and preflight their print-ready files
  • Supply print files to our vendors and manage ongoing relationships

Digital Archive Management, including:

  • Maintain up-to-date, accurate and reliable digital production archives of all print projects

General Communication, including:

  • Inform key staff of delays or problems with printer schedules or quality control
  • With the Director, Cross-Media Group, advise on process and quality control of printing and reproduction, particularly with design-intensive books or books where artwork/photography is integral
  • Arrange with printer for advance copies of books and for drop shipments (in consultation with sales and marketing, or with rights in the case of co-editions)
  • Maintain and develop positive working relationships with printer reps

Job Specifications/Skills

Education

  • University degree required; publishing certificate/courses considered an asset

Skills

  • Proficiency in Adobe Acrobat and InDesign
  • Excellent written and oral communication skills
  • Ability to work on multiple projects with competing deadlines and shifting schedules
  • Adaptability to changing priorities as new projects are added, often on tight schedules
  • An understanding of Smartsheet would be an asset
