Here’s our current opening:

Position: Editorial, Design, and Production Coordinator, 12-month contract

Reports to: Director, Editorial, Design, and Production

Division: Publishing

Location: 800 Bay Street*

Here’s what you’ll be doing….

You’ll manage the editorial and production workflow for a portfolio of scholarly journals and books, including monographs, edited collections, textbooks, and trade books, ensuring titles are published in print, ebook and online according to schedule. You’ll oversee responsibility for the publications assigned, from submission through copyediting and PDF proofs to online, print and ebook publication.

*For this position, we currently have the option of working totally in the office, remotely, or in a hybrid model. However, this position may initially require some in-office time mixed with work from home during the onboarding phase.

Key responsibilities:

  • Maintain all publishing schedules and deadlines, and enforce manuscript submission and production deadlines; manage budgets for editorial and production work;
  • Facilitate clear communication and collaborative relationships with internal staff, authors and editors, and external vendors and freelancers;
  • Assess manuscript and image files for completeness and compliance with publishing style; send manuscripts to vendors for content preparation and XML tagging;
  • Coordinate freelance and vendor copyediting, enforcing deadlines and monitoring the quality of work and compliance with publishing styles;
  • Prepare production costs, obtain print quotes from printing vendors and oversee printing process, ensuring quality and timeliness;
  • Evaluate and consolidate requested author revisions and final editor changes using Adobe Acrobat, review typeset revisions for accuracy, and check final print-ready PDF files for quality and completeness;
  • Collect appropriate copyright permissions to reproduce images, poetry, and any other material to which the article author(s) does not hold rights;
  • Coordinate with Customer Service and Distribution on printing and distribution workflows;
  • Prepare and distribute reports and data related to schedules, submissions, usage and readership;
  • Proofread jacket and cover copy, marketing materials and other text, as required;
  • Organize and attend various editorial board and publishing meetings, take minutes, prepare and circulate reports, agenda, and any other necessary documents;
  • Participate in special projects and internal training initiatives.

Here’s what we are looking for:

Education, Qualifications, and Experience:

  • Post-secondary graduate; or equivalent combination education/experience
  • 3-5 years’ experience in journal publishing or related environment, including editorial and/or production
  • Publishing certificate an asset
  • French language an asset

Knowledge, Skills, and Attributes:

  • Excellent interpersonal and communication skills; pro-active problem-solving skills; flexibility, adaptability, and organizational skills
  • Tact and good judgement; grace under pressure; ability to set, meet, and enforce deadlines
  • Ability to work both independently and cooperatively, demonstrating initiative and collaboration
  • Excellent time management, organizational skills and attention to detail; ability to manage multiple projects and competing priorities
  • Proficiency in Windows, MS 365, Adobe Creative Suite, including Acrobat, InDesign and Illustrator
  • Familiarity with copyediting, including MLA, AMA, Chicago and Vancouver styles, an asset
  • Excellent knowledge of English spelling, grammar, style, and usage; skill in proofreading
  • Familiarity with copyright and permission issues related to publishing
